Last updated: 2026-05-29.This policy explains what personal data Teclynx Ltd, trading as Mosaicify ("we", "us"), collects, why, how it's stored, and what your rights are under UK GDPR and the Data Protection Act 2018.

Data we collect

When you place an order

• Your name and shipping address (to dispatch your kit)
• Your email address (for order confirmation and tracking)
• The recipient's name and shipping address if you select "This is a gift"
• The photo you uploaded and the configuration you chose

We do notcollect or store your payment card details. Payment is processed by Stripe Inc. and we only ever see a transaction reference and the last 4 digits of the card. Stripe's privacy policy is at stripe.com/gb/privacy.

When you use the site without ordering

We use Google Analytics 4to understand how visitors find and use the site (page views, traffic sources, broad device category). Google Analytics sets cookies in your browser and is provided by Google LLC; we've configured it with IP anonymisation and no remarketing or advertising features enabled. Google's privacy policy is at policies.google.com/privacy.

We also use Sentry to capture client-side errors so we can fix them. Sentry receives the page URL, browser, and error stack trace. No form input is captured. See sentry.io/privacy.

If you toggle "Remove background" on the create page, the AI model that processes your photo runs entirely in your browser — your photo is not uploaded to any server during preview. It is only uploaded when you complete checkout.

Why we collect it

We process the data above only as needed to:

• Fulfil and ship your order (lawful basis: contract performance)
• Email you order confirmations and tracking (contract performance)
• Comply with UK tax and accounting obligations (legal obligation)
• Defend against fraud and chargebacks (legitimate interest)

We do not use your data for marketing, profiling, or any purpose beyond completing your order. We do not sell or share data with third parties except as required to ship your order (Royal Mail) or process payment (Stripe).

How long we keep it

• Order records (name, address, items): 7 years, as required by HMRC for tax records.
• Email address: retained as long as the order record requires.
• Uploaded photos and configurations: 90 days after fulfilment, then permanently deleted from our storage.
• Payment records: held by Stripe per their retention policy.

Your rights

Under UK GDPR you have the right to:

• Access the data we hold about you (Subject Access Request)
• Correct inaccurate data
• Request deletion of data we're not legally required to keep
• Request a copy of your data in a portable format
• Object to specific processing
• Complain to the Information Commissioner's Office (ico.org.uk)

Cookies

We use two categories of cookies:

• Essential cookiesneeded for the site to function (session, cart state, CSRF protection). These don't require consent.
• Analytics cookies set by Google Analytics 4 only after you accept via the cookie banner. Until you accept, GA4 runs in restricted mode under Google Consent Mode v2 — no cookies are set and only anonymous, cookieless pings are permitted.

You can change your choice at any time via the Cookie settings link in the footer.

We don't use advertising or remarketing cookies.
